How it works

  1. 1

    Paste the review

Copy the review from Google and paste it in, then pick the star rating. If the reviewer left stars and no text, the rating alone is enough.

  2. 2

Add your business and a tone

Enter your business name, and the reviewer's first name if you have it. Pick a professional, friendly or short tone.

  3. 3

    Edit and post a reply

You get 3 drafts. Copy the one you like, check the details and post it under the review from your Business Profile.

50 Google review reply templates

Grouped by star rating, tricky situations and industry. Copy one, fill in the brackets and add a detail from the review before you post it.

Words in [square brackets] are placeholders. Replace [Name] with the reviewer's first name as it shows on Google, [Detail] with something they mentioned and [Contact] with a direct phone number or email. Delete any bracket you don't need.

5-star review reply examples

Replies to 4-star reviews

A 4-star review comes from a happy customer. Thank them as you would for five stars, answer any small point they raised, and don't ask why they held back a star.

3-star review replies for mixed feedback

[Name], thank you for the fair review. I'm glad our team looked after you, and I'm sorry the [Service] didn't match. I'd like to hear more about what went wrong, so please reach me at [Contact]. [Your name], [Role]

Replies for tricky reviews

Some reviews need different handling: a reviewer you can't place, a rating with no text, a complaint about a named employee or a review you missed for weeks. Reply once, stick to facts and keep staff matters private.

Reply examples for six industries

Each industry below gets one reply for a good review and one for a bad one. US health privacy law (HIPAA) limits what a dental or medical practice can say about a patient, so the dental replies never confirm that the reviewer is a patient or mention treatment.

    5

The reviewer praises a dish, a drink or the meal as a whole.

Our kitchen team will be glad to hear it, [Name]. [Service] is one of our chef's favorites too. Thank you for dining with us, and we hope to see you back at [Business] soon. [Your name], [Role]

  • Restaurant: cold food or a long wait

    2

  • Dental practice: kind words about the team

    5

A positive review. The reply thanks them without confirming they are a patient.

  • Dental practice: a billing or wait-time complaint

    2

A negative review. The reply moves it to a phone call and discusses nothing about care or billing.

Privacy rules limit what we can say in a public reply, [Name], so we won't discuss any details here. We'd still like to hear your concerns. Please call our practice manager, [Staff name], at [Contact]. [Business]

    5

A plumbing, HVAC, roofing or cleaning customer liked the speed and the finish.

  • Salon: a client loves their new look

    5

The reviewer loves their cut, color or treatment and may name the stylist.

Seeing a client leave happy is the best part of the job, [Name]. [Staff name] loved reading your review, and we can't wait to see you at your next appointment. [Your name], [Role]

  • Salon: unhappy with a cut or color

    2

The client didn't like the result.

Having you stay with us was a pleasure, [Name]. Thank you for mentioning [Detail]. I've shared your review with our front desk and housekeeping teams. We hope to welcome you back to [Business] on your next trip. [Your name], [Role]

  • Hotel: noise or a room that wasn't clean

    2

The guest complains about noise or room cleanliness.

  • Auto repair: the problem came back

    1

What a good Google review reply includes

Google shows your reply under the review, marked as a response from the owner. The reviewer gets a notification, and anyone who reads the review later sees your answer too. Google's own help says replying shows customers you value their feedback. Use these rules to check any reply before you post it, including the drafts this generator writes.

  • Use their name and one detail

Address the reviewer by the name shown on Google and mention one thing they wrote. Google's tips for replying suggest the same.

  • Keep it short

Two to four sentences cover most reviews. Google advises keeping replies short and simple.

  • Apologize once on a bad review

Say sorry for their experience, skip the excuses and give a direct phone number or email so you can sort it out in private.

  • Keep private details private

Never post a reviewer's contact details, order or account history, or anything about their health. Google's tips say never to share a reviewer's private information.

  • Offer nothing in return

Leave discounts, gifts and promotions out of your replies. Google prohibits offering anything in exchange for posting, changing or removing a review.

  • Sign it

End with a real name and role, so the reviewer knows who to ask for.

  • Change at least one line each time

Google's tips advise against sending the same thank-you to everyone. A template is a starting point, so add something from the review you are answering.

  • Post it from your Business Profile

Open your Business Profile, select Read reviews, select Reply next to the review, paste your text and select Reply again. You have to verify your business before you can reply, and you can edit or delete a reply later.

Frequently asked questions

What is a good reply to a Google review?
A good reply thanks the reviewer by name, mentions one specific thing they wrote and stays short. On a negative review, it apologizes once, skips excuses and gives a direct phone number or email so you can sort things out in private. Sign it with a real name so the reviewer knows who answered.
Should I reply to every Google review?
Reply to every negative and mixed review, because anyone who reads the review later also sees how you handled it. Replying to positive reviews is worth it too, as long as each reply is specific. Google's own tips advise against sending the same thank-you to everyone.
How fast should I reply to a Google review?
Google sets no deadline, but its tips list a timely reply as good practice. Try to answer negative reviews within a day or two, while you and the customer both remember the details. Positive reviews can wait a few days if you're busy.
Can I use AI to reply to Google reviews?
Yes, as long as you read each draft before you post it. You are responsible for what the reply says, so check names and facts and cut anything that doesn't sound like you. This generator writes drafts for you to edit. It never posts anything to Google.
What should I never say in a review reply?
Leave out anything personal: contact details, order or account history and anything about the reviewer's health. Skip arguments and accusations, even when the review is unfair. And never offer a discount or gift in a reply. Google prohibits offering anything in exchange for posting, changing or removing a review.
How do I reply to a fake Google review?
Reply once, stay calm and don't accuse anyone. Say you can't find a record of the visit and give a way to contact you, so real customers see that you tried. Then report the review from your Business Profile: select Read reviews, select the report icon next to the review, pick a reason and send the report. Google asks owners not to report a review just because they disagree with it, and you can follow your report in its Reviews Management Tool.
How do I respond to a 1-star review with no text?
Keep it short and ask what went wrong. Thank them for the rating, say you'd like to fix the problem and give a direct phone number or email. The "1-star review with no text" template on this page does it in three sentences, or you can leave the review box empty in the generator, pick 1 star and get three drafts.
Why can't I reply to a Google review?
Only an owner or manager of the Business Profile can reply, and Google requires you to verify your business first. If your profile is verified and you still can't reply, check that you're signed in to the Google account that manages it.
Is this review reply generator free?
Yes. You can run it 3 times in any 24 hours without an email, and each run writes 3 replies. Continue with Google or verify your email to get 20 runs per 24 hours. You need no credit card and nothing to install. When the review has text, the replies come back in the same language.
How does GLocal help with review replies?
GLocal is Wiremo's Google Business Profile management tool. When a new review arrives, it emails you up to 3 AI-written replies. Tap Post reply to publish one on Google, or Edit first to change it. GLocal also tags each review Positive, Neutral or Negative. Plans start at $29.99/mo for one profile, with a 30-day money-back guarantee.
